Window Master Pro

Privacy Policy

Effective date: 1 October 2026. Last reviewed: 1 October 2026.

How Window Master Pro collects, uses, stores and protects personal information when you visit this website, request a quote or use our window services.

1. Who we are

Window Master Pro (“we”, “us”, “our”) provides window cleaning, repair, servicing and installation. We are responsible for the personal information described in this policy. This policy applies to windowmasterpro.com and to information you give us by phone, email or in person when arranging our services.

2. Information we collect

We only collect information that we need to respond to you and carry out the work you request:

  • Contact details such as your name, phone number and email address.
  • Property details such as the service address, access instructions, floor level, number and type of windows, and photos you choose to send.
  • Job records such as quotes, booking dates, work carried out, notes and photographs taken by technicians to document the condition of windows before and after work.
  • Payment records such as invoice amounts, payment dates and the method used. We do not store full card details.
  • Website data such as IP address, browser type, pages visited and the date and time of your visit, collected through server logs and cookies as described in our Cookie Policy.

3. How we use your information

We use personal information to:

  • respond to enquiries and prepare quotes;
  • schedule surveys, visits and installations, and send reminders;
  • carry out and document the work, including safety planning for work at height;
  • issue invoices, take payments and keep accounting records;
  • handle guarantees, complaints and return visits;
  • improve our website and services using aggregated, non-identifying statistics;
  • meet legal, tax and insurance obligations.

We do not sell your personal information, and we do not use it for unrelated marketing without your consent.

4. Legal grounds for processing

We process your information because it is necessary to take steps at your request before entering into a contract and to perform that contract; because we have a legitimate interest in running and improving our business in a way you would reasonably expect; because we must comply with legal obligations such as record-keeping; or, where required, because you have given consent, which you can withdraw at any time.

5. Sharing your information

We share information only where needed to deliver our services:

  • with technicians and subcontractors who carry out work on our behalf and are bound by confidentiality;
  • with suppliers and manufacturers when ordering made-to-measure glass, frames or parts, limited to measurements and delivery details;
  • with providers of website hosting, email, form handling, payment processing and accounting software;
  • with insurers, professional advisers or authorities when required by law or to protect our legal rights.

All service providers are expected to protect your information and use it only for the purpose for which it was shared.

6. How long we keep information

Enquiries that do not lead to a booking are deleted or anonymised within twelve months. Customer and job records are kept for as long as needed to provide guarantees and meet accounting and legal requirements, after which they are securely deleted.

7. Security

We use reasonable technical and organisational measures to protect personal information, including encrypted connections on this website, access controls on our systems, and limiting access to staff who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we will act promptly if we become aware of a breach.

8. Your rights

Subject to applicable law, you may ask us to:

  • give you a copy of the personal information we hold about you;
  • correct information that is inaccurate or incomplete;
  • delete information we no longer need;
  • restrict or object to certain processing;
  • withdraw consent where processing is based on consent.

We will respond within a reasonable time and may ask you to confirm your identity before acting on a request.

9. Children

Our website and services are intended for adults responsible for a property. We do not knowingly collect personal information from children. If you believe a child has sent us information, please contact us and we will delete it.

10. Changes to this policy

We may update this policy to reflect changes in our services or legal requirements. The effective date at the top of the page shows when it was last changed. Significant changes will be highlighted on this page.
